Linwater Caravan Park Booking Terms & Conditions

This agreement is between the person making a booking at Linwater Caravan Park and the company Edinburgh Holidays Ltd SC782711, trading as Linwater Caravan Park.

The person who makes the booking agrees to take full responsibility for ensuring that all the following Conditions of Let are adhered to by all members of the party. If any of our terms are not clear to you, please ask for clarification of specific points.

Please note, that all bookings made through our online booking system are provisional until they are confirmed by ourselves via email/telephone.

 

All Guests Agree:

Your Booking – By making a booking, you agree that it forms a binding contract between you and Linwater Caravan Park. Any changes to the booking must be agreed in writing by both you and us. If we agree in writing to make any exceptions to our usual payment or cancellation terms, those changes also become part of your contract with us.

Number of Guests – The correct number of guests will be booked in, and they will not exceed the stated number of guests on the booking confirmation.

Edinburgh Visitor Levy (Tourist Tax) – In line with Edinburgh Council regulations, all guests are required to pay the Edinburgh Visitor Levy (5% of the total booking value for the first 5 nights) before arrival. This applies to bookings made on or after 1st October 2025 for stays from 24th July 2026 onwards and includes bookings made via third party websites such as Pitch Up, Campsites.co.uk and Booking.com.

Noise on Site – Guests will be mindful of other people on site and will adhere to the site’s quiet hours between 10pm to 8am. No gatherings of any kind are permitted.

Criminal History – We do not accept bookings from or allow anyone to stay on a holiday park who is or has been listed on the Violent and Sex Offenders Register (or any register which supersedes this), or anyone who is subject to a Sexual Risk Order, Child Abduction Notice or any similar order, court proceedings or register. By making a booking, you are confirming that no one in your party is or has been on any such register, subject to any such order or otherwise the subject of any such court proceedings. If we do cancel your booking under this clause you will be subject to the cancellation terms laid out below.

Staff Body Cameras – Staff have access to body cameras and reserve the right to record conversations with you or your guests in any event. This includes when they feel under threat of violence, abuse or false accusations. Any conversations recorded may also be used to ensure staff have managed a difficult situation appropriately should their actions be called into question by you or another guest. Recording may also be used for staff training or feedback. Any recordings used can and will be used as evidence if required by criminal or civil law.

Behaviour on Site – To act in accordance with our rules and regulations. We reserve the right to cancel your reservation if you are found in breach of any of these terms or site rules. In addition, Linwater Caravan Park are not liable for any costs incurred by you, including the cost of your holiday, should you act in a way contrary to the site rules.

Section 1 – Arrivals and Departures

Campsite Reservations

Arrival: 12:00 – 18:00                  Departure: by 12:00

  • You must tell us before 18:00 if you are likely to arrive after 18:00. We can then arrange for a late check in up until 21:00. No arrivals will be admitted after 21:00.
  • You must vacate your pitch by 12:00 on the day of your departure.
  • Late arrivals will not be permitted to enter site after 9pm for the safety and comfort of all other guests.
  • No refunds will be given for late arrivals who are not able to enter site.
  • We will try to allocate you the location of your choice on the Park, but bookings are not conditional on this.

Self-Catering Reservations

Arrival: 16:00 – 21:00                  Departure: by 10:00

  • You must vacate by 10:00 on the day of your departure. If you fail to check out before 10am you will be charged £50 on the spot fine, followed by a further £25 every hour on the hour. (e.g. if you return the keys at 11:05 am the fine will be £75)
  • We’ll do our best to place you in the specific caravan or lodge you booked. However, bookings reserve a type of accommodation, not a specific unit. If we need to move you for operational reasons, we’ll offer a unit of the same or higher standard (though décor may differ). If that’s not possible, we’ll offer you a full refund or a lower-grade unit with the price difference refunded – whichever you prefer.

Section 2 – Touring & Camping Reservations

2.1 Group bookings and school bookings are not permitted. Group bookings are defined as two or more pitches booked by the same family or group, whether booked together, separately, or through different channels (including third-party providers).

2.2 Only one tent pitch may be booked per reservation, and single-sex groups of 3 or more adults are not allowed.

  • 2.2.1 Groups attempting to book separately to form a gathering, especially if it disturbs other guests, will be asked to leave without a refund.

2.3 One unit per pitch. A campervan towing a caravan cannot use the campervan for sleeping in as there must be 6 metres between occupied units in line with our licence agreement.

2.4 Your unit, including any awnings, gazebos, and vehicles, must fit within the pitch size you booked. If your requirements change, we can’t guarantee a larger pitch will be available, and any cancellation would fall under our standard cancellation policy.

2.5 Guests are not permitted to sleep in cars.

2.6 Late Arrivals are by arrangement only. No arrivals after 9pm.

2.7 The cost for the first night is required when you book. The remaining balance must be paid at least 7 days before arrival. If not, your booking will be cancelled. If you don’t arrive on your scheduled arrival date and haven’t contacted us in advance, the rest of your booking will be forfeited.

2.8 Open fires and ground level BBQ’s are not permitted. Bricks are provided around site which can be used to raise BBQ’s off the ground; however, this action is taken at the customers own risk.

2.9 The use of generators is not permitted.

2.10 Should you wish to extend your stay beyond the booked dates there is no guarantee the same pitch will be available.

2.11 The motor home service point should not be used between 8pm and 8am.

2.12 Gas bottles are not to be left outside of your unit and must be stored the appropriate compartment within your tourer.

2.13 Failure to leave or pay on time will result in further terms and conditions being brought into effect. See section 7 below for more details.

Section 3 – Self Catering Reservations

3.1 Bookings from adult groups (3 or more) under the age of 25 are subject to agreement by the Park Manager and can only be booked over the phone.

3.2 We reserve the right to take a damages and excessive cleaning security deposit of £250 prior to you being given the keys.  This can be paid in cash or by card. 

3.3 All units are inspected prior to your check in therefore any damage or excessive mess/dirt left will be charged against this security deposit. Provided there are no damages your deposit will be returned to you within 48 hours of your departure using the card charged. 

3.4 Check out is strictly 10 am unless prior arrangement has been made and agreed in writing by the reception staff. If you fail to check out before 10 am you will be charged £50 on the spot fine, followed by a further £25 every hour on the hour. (e.g. if you return the keys at 11:05 am the fine will be £75)

3.5 You are not permitted to pitch tents or park motorhomes or tourers next to self-catering Accommodation for which a separate touring/campsite booking must be made.

3.6 Cats are not permitted in any self catering accommodation. Other pets by arrangement only.

Section 4 – Dogs

4.1 Most breeds of Dog are welcome, apart from any breed of dog listed in the Dangerous Dogs act 1991. All dogs but must be always kept under control and on a lead whilst on site.

4.2 All dogs must be booked onto site via the online booking system.

4.3 The dog owner accepts all liability for their dog’s actions; including interaction with other customers. By agreeing to these terms, customers with dogs are accepting that they hold full liability for their dogs’ actions, including any that result in legal action by another patron of the site. Third party liability insurance is therefore recommended.

4.4 The dog owner/walker is responsible for cleaning up after their dog. Dogs should not be left alone in either our accommodation or your own, your dog may be used to your caravan or motorhome, but they may become stressed by the outside surroundings and new sounds thus causing a disturbance to other guests.

4.5 There is a dog walking area accessible from the back of the park. You must also clean up after your dog in this area.

4.6 Please do not allow dogs to foul on grassed areas within the park, around your lodge pitch etc.

4.7 Max 2 dogs per pitch or accommodation type. Please do not allow your pets on the beds or furniture in our accommodation.

4.8 A cleaning fee per dog is required for self-catering bookings.

4.9 With the exception of certified assistance dogs, no dogs in the playpark, camper’s kitchen or amenity block.

4.10 Nothing in these Park Rules prevents you or any member of your party from bringing an assistance dog to the park, or from using the dog exactly as at home, if this is required to support a disability and Assistance Dogs UK or any successor body has issued an Identification Book or other appropriate evidence.

4.11 IF CUSTOMERS WITH DOGS FAIL TO ABIDE BY ANY OF THESE RULES, THE SITE RESERVES THE RIGHT TO REMOVE YOU FROM SITE WITHOUT REFUND OF YOUR BOOKING.

Section 5 – Changes to our facilities and services

5.1 We may make reasonable changes to the facilities and services at the park provided these changes do not materially reduce their quality. Our changes may reflect changes in relevant laws and regulatory requirements or implement minor technical adjustments and improvements, for example to address a health and safety risk.

5.2 We will endeavour not to make such a change, however considering recent events relating to energy prices, we reserve the right to make changes the price of your holiday after you have booked, should the current price become unviable to the business.  An example of this could be a fair usage policy on gas and electricity usage, whereby anything over a fair amount is charged for.  In these circumstances we will give you the option to cancel with a full refund should the price no longer be acceptable to you.

5.3 If we make changes to the facilities and services at the park which materially reduce their quality, we will give you the choice between confirming your booking, agreeing new booking dates with us or cancelling.

5.4 If, following any changes made your holiday has not started and you decide to cancel, then we will refund your booking in full provided you request this within 48 hours of being notified. If your holiday has started, then we will refund in full any full days unused when we cancel.

5.5 We will not charge an administration fee, and we will not deduct any Direct Costs.

Section 6 – Cancellation Policy

Extra Activities – The agreement for your stay is between the caravan park and you. It is not linked to any activities or events that you have booked as part of your wider holiday, including flights. If the park remains open and can honour a booking, refunds will not be issued for any cancellations unless in line with the terms and conditions stated in Paragraphs 1 and 2.

World Events & Government Guidance – Cancellations made by the site, where we are legally required to close under the Coronavirus Act, due to war, civil unrest, or any other government order or circumstance beyond our control, will be offered a refund or credit note for any days that we are unable to fulfil your booking.

In all other circumstances, including where the park remains open and operational, full terms and conditions continue to apply regardless of wider world events, including but not limited to war, pandemics, or changes in government guidance.

In line with the most up-to-date legal requirements, no refunds will be issued for guests who cancel following a positive COVID-19 test. COVID-19 will be treated in the same way as any other illness or personal circumstance and is subject to our standard cancellation policy.

Insurance – Your holiday price does not include any cancellation insurance cover. It is always recommended that you take out holiday insurance cover. Subject to at least 30 days’ notice, we can, in some circumstances allow you to change your dates.  Guests in these circumstances will be reviewed on a case-by-case basis.

Amendments – Only one amendment can be made per booking, and it has to be pre-booked for a date no more than 3 months after your original arrival date. In this case we cannot guarantee your originally allocated pitch/accommodation. Changes may incur additional costs depending on the new dates chosen.

Leaving Early/Late Arrival – No refund will be issued for nights booked if you decide to leave early or arrive late.

Failure to Appear – Unless arrangement has been made with the site before arrival, if you fail to check in before 9pm on your scheduled arrival date and fail to notify us of a later arrival, it will be assumed that your booking is cancelled, and you no longer required it. At this point, your pitch/accommodation will be made available online for others to book. No refunds will be issued in this instance.

 

Campsite Bookings

6.1 A deposit of your first night’s stay is required at the time of booking. Refunds of deposits will be provided based on the timescales below for all bookings except those listed in paragraph 6.3.

  • Cancellation 90 days or more before arrival; 95% deposit refunded.
  • Cancellation 60-89 days before arrival; 50% deposit refunded. 
  • Cancellation 30-59 days before arrival; 25% deposit refunded. 
  • Cancellation less than 30 days before arrival; Deposit held by site. 

6.2 The final balance for your holiday is due 7 days before you arrive. This is non-refundable once paid. If the balance is not paid before the due date the site reserved the right to cancel your booking without refunding your deposit.

6.3 The following dates are not entitled to a refund or date transfer of the first night deposit at any stage. This is to discourage guests from ‘holding’ pitches at busy times when advanced booking is common and thus making it harder for the park to let out their pitch later to the same occupancy or efficiency. 

  • 24 December – 2 January
  • 1 – 20 April and the Easter Weekend if this date is not included
  • Bank Holiday Weekends Friday to Monday inclusive
  • The Royal Highland Show dates and the day preceding this
  • 15 July – 31 August

 

Self-Catering Bookings

6.4 A deposit of 20% is due at the time of booking. The deposit is non-refundable after you book.

6.5 The full balance is due 30 days prior to arrival and is non-refundable from 30 days prior to arrival. 

6.6 Bookings made within 30 days of arrival will be required to pay the full balance on booking which will be non-refundable. 

6.7 Failure to pay the deposit or balance when due will be treated as a guest cancellation and will result in your booking being cancelled. Relevant payments will be held as per paragraph 6.4 and 6.5.

6.8 Amendments to dates are subject to approval by the Park Manager and may incur a charge. We cannot amend any dates within 30 days of arrival.

Section 7 – Abandoned Property

7.1 All personal items (if staying in a self-catering accommodation) or units (i.e. caravans, motorhomes and tents if staying on a pitch) must be removed by the departure date confirmed on your booking summary confirmation and by the time noted in section 1.

7.2 Failure to remove personal items or unit from Linwater after the timescales in section 7.1 may result in:

  • Daily storage charge of £25 per day for units/items which have had to be moved into our storage area.
  • Removal costs for personal items to be removed by staff.
  • Legal action to recover costs, including removal and storage fees that are noted above.

7.3 Caravans left on site without payment or communication for more than 24 hours may be treated as abandoned, and subject to removal under The Torts (Interference with Goods) Act 1977.

7.4 Linwater Staff will not be held responsible for any loss, damage or theft of caravans or contents before, during or after removal.

7.5 Guests must ensure they have appropriate insurance to cover these instances.
